Getting Etsy Sales & Shipping Totals for Your Taxes (Paypal Totals Too)

Here’s how to retrieve your Etsy transaction data & listing expenses to add them up for tax reporting–you’ll be able to add up:

  • orders & shipping income
  • sales tax collected (Should you be collecting sales tax? See here!)
  • credit card processing fees (when buyers chose Direct Checkout–you’ll need to get info about Paypal transactions from Paypal–help for Paypal here)

(Please note that the IRS doesn’t like just seeing spreadsheets for tax records, so be sure to keep back up documentation for your business–like email records of payments made and received, print outs of the “Your Bill” page for quick reference of monthly bills.)

If you use both Etsy and Paypal to receive funds, you can download just the Direct Checkout (DC) Payments you recieved for DC orders on Etsy, then go to Paypal to download those transaction records.

1. Go To Your Shop
(Direct link if you’re logged in: https://www.etsy.com/your/orders/sold)

2. On the left under “Shop Settings” click Options

3. In the center of the page click the Download Data tab

4. Page down to Orders, choose the download type and time frame for the CSV you want to download and save them to your computer.

Great tip: If you want to download the full year’s worth of records at once, don’t select a month–just select the year and it will include all 12 months.

Remember–you need to include the shipping you collected as well as the item price in your income. You deduct actual shipping expenses on the income tax form separately.

5. Go To Your Shop
(Direct link if you’re logged in: https://www.etsy.com/your/orders/sold)

6. On the left under “Orders” click Shipping Labels.

7. In the center, near the top of the page, click the tab for “Purchased Labels”.

8. On the “Purchased Labels” tab near the top left, you’ll see a link for “Summary”. The default is “Daily Summary” with a link to “View by Month” below it. For some reason, you must click the “View by Month” link to be able to download your records, so give it a click.

9. Now look over to the right–you’ll see a menu that says Yearly Summaries. Click it and it will give you a choice of years to download. Save what you need and use Autosum (see below) to add it all up.
